Subscriptions and payments

Set up billing on a product: installments, commitment, proration and billing day

Pay in installments, monthly commitment, prorated first payment, end date and fees: the billing settings of a product explained one by one.

Once the type is chosen, the Details step of the product shows the billing settings that apply to that type. Each one answers a concrete club question: pay in several installments, commit the student for the year, charge everyone on the same date, close the season. Here is how to read them.

1. Installment payments

The Installment payments block splits an amount into monthly payments charged through Stripe. It is offered on yearly memberships, one-time payments and class packs.

You set the maximum number of installments, from 2 to 4. That cap is not an app choice but a legal limit: beyond 4 installments, a split payment becomes consumer credit.

Only card and SEPA direct debit accept split payments: a student paying in cash or by check pays the full amount. The displayed price stays the total price, the student sees the amount of each installment at checkout.

2. Monthly commitment

On a monthly membership, the Monthly subscription with commitment block charges the student every month for a contractual period, from 2 to 12 months. Cancellation is only possible at the end of the commitment period.

A commitment assumes the student knows what they are signing up for. The product therefore cannot be created until your subscription terms and conditions are published: the form says so in red and offers to manage them.

Once the terms are published, the notice shows their version number and creation is unlocked. Commitment requires a set price and cannot be combined with installments or with a limited number of classes.

3. First payment and billing day

The First payment and billing date block decides what happens on the day a student signs up mid-month.

  • Full month on signup: the student pays the whole month on signup day, and every renewal falls on the anniversary date. Simple, but your charges spread across the whole month.
  • Prorated, then charged on day 1: the student pays the remaining days pro rata, then everyone is charged on the same day of the month, between the 1st and the 28th. Your income arrives in one batch and your tracking is easier to read.

This choice is made at creation. Changing it later only affects new subscriptions.

4. End date and renewal

Without a subscription end date, a membership renews automatically: the student is charged until they cancel. That is the expected behaviour of a monthly or a yearly membership with renewal.

For a season, enable the end date and pick the last day of the season: every access stops that day and students sign up again at the start of the next one. On a yearly membership without renewal left without a date, access ends by itself one year after purchase.

The summary warns you if the end date falls before the last installment, or if it is already in the past.

5. Understand the fees

As soon as the price is set, the form shows the fee breakdown under the field, with a switch between card and SEPA direct debit.

  • Platform fee: OSS Academy’s share, as a percentage of the price.
  • Stripe fee: a percentage plus a fixed amount per card payment, or a fixed amount per SEPA debit.
  • Net amount received: what lands on your account.

SEPA is cheaper on large amounts, card on small ones. The See details by card type button gives the exact rates depending on where the card was issued.

6. What changes for existing subscribers

Nothing. Editing a product only affects new subscriptions: students already subscribed keep their price, their commitment and their payment schedule until the planned end. The form reminds you of it at the top of the Details step when you edit.

To change the conditions for everyone, create a new product and archive the old one: it disappears from the catalog, its current subscribers carry on as before.
