Once your products exist, the My Products screen is where the day-to-day work happens: find a rate, check who bought it, reserve it for a given audience, copy it for the new season or take it off sale. To create a product, start with the “Create a subscription product” tutorial.
1. Find a product: search, filters and sorting
In the management menu, under Commerce, the Products entry opens the list. The Search for a product… field looks in the name and description, ignoring accents and capital letters.
The filters narrow down the list:
- Subscription type: One-time, Weekly, Monthly or Yearly.
- Status: Active, Expiring soon (end date within 30 days) or Expired.
- Target audience: Minors, Adults, or Not set to find the products you have not classified yet.
- Location: products with at least one class at that address.
- Sort by: Recommended (the order your students see), modification or creation date, name, price, expiry or number of classes.
Reset filters clears everything. On a phone, the filters open from the funnel icon at the top of the screen.
2. Read a product card’s badges
Each card shows the price, the rhythm, the included classes and the number of active subscribers. Above the name, badges flag what needs your attention:
- a schedule warning, for example “No linked courses” or “Courses after access end”;
- the target audience, and “Reserved for N students” if the product is reserved for a named list;
- No payment method: the product is paid but none of the accepted payment methods can settle it anymore, so students cannot buy it;
- Billing incomplete: a click opens the billing configuration.
A “No payment method” badge is fixed in your accepted payment methods, in the “Methods by type of sale” section.
3. Reorder the catalog and manage groups
Reorder switches the list to drag and drop: the order you set is the order in which your students see your products. Products move within their group, and the arrows on a group header move the whole group. Confirm with Save order.
Manage groups opens the list of your product groups: that is what shows several rates of the same membership (adult, student, kids) as a single entry. The “Group several prices under one membership” tutorial covers how to create them.
4. Open a product page
Click a card, or the three dots at the end of the card then View. The page gathers everything about that product, in tabs.
The Details tab shows the price and its status, the payment plan (installments, commitment, billing day), the description, the access (end date or duration, class quota) and the list of included classes. If the academy runs several legal entities, the Issuing entity line shows the one that collects and invoices this product.
At the top of this tab, the Schedule warnings box appears when the timetable and the product do not match: no class linked, a class that runs past the access end date, or classes that all end before it. The product can still be sold, but a student may pay for sessions they will not be able to attend.
5. See subscribers and the covered period
The Subscribers tab lists the members subscribed to this product, with their status and their subscription end date. Click a subscriber to open their subscription and payment details.
The Calendar tab shows the sessions of the linked classes, month by month, and highlights the Period covered by the product. For a product with a rolling duration or a non-renewing yearly plan, it is a simulation for a purchase made today. The “Some classes continue after access ends” notice warns you that a student would see sessions they can no longer book.
6. Reserve a product by age or gender
The Restrictions tab is for the academy owner only. It separates two different effects.
Under Who sees this product, three settings hide the product from those who are not eligible:
- Allowed students: a named list, covered in “Limit what a product gives”.
- Age range: a minimum age, a maximum age or both, in completed years, both bounds included. Click Apply. A member without a date of birth does not see the product either.
- Gender: Women only or Men only. A member of another gender, or with no gender set, does not see the product.
These rules are enforced by the server: the product disappears from the student’s catalog and cannot be reached even with a direct link.
Under Who can buy it, the Age restriction reserves the membership for minors or adults, with the line at 18. It hides nothing: everyone sees the offer, only the purchase is refused, with a clear message. A parent buying for their child is judged on the child’s age.
Before restricting by age, make sure your students have filled in their date of birth, otherwise the product stays hidden from them (age range) or cannot be bought (age restriction).
7. Edit, duplicate or delete
On a computer, the three actions sit at the top of the product page and in the three-dot menu of each card.
Edit reopens the product form. A change only applies to future subscribers: students already subscribed keep the terms they signed up for. The “Set up billing on a product” tutorial explains what changes for them.
Duplicate opens a new, prefilled product named “(copy)”: included classes, restrictions, allowed students and linked items are carried over, and the original and its subscribers are left untouched. It is the fastest way to prepare next season’s rates.
Delete takes the product off sale after confirmation: nobody can buy it anymore, but subscriptions already taken out are not interrupted. You can delete a product even if it has subscribers.
8. Check your payments and your archived products
Once Stripe is connected, two buttons appear above the list.
Manage your payments and transfers opens your Stripe dashboard, to follow your card payments and the payouts to your bank.
View archived products lists deleted products, with the Archived badge, their price and their rhythm. This list is read-only: an archived product cannot be put back on sale. To offer it again, create a new product.
If a student cannot find a product
Check in this order: the product is not archived or expired, it does not carry the “No payment method” badge, and the Restrictions tab does not exclude the student through its student list, age range or gender. A student with no date of birth or no gender set is excluded as soon as a restriction relies on those fields.
