Gis, rashguards, belts, club hoodies: everything you sell alongside subscriptions goes through the shop. Your students order from the app, you track who has paid and who has picked up their item. It is an optional module, listed in the menu under Shop.
1. Create an item
Create a product opens the form: name, description, price, VAT rate. The part that matters is Variants.
- For Size and Color, pick: none (registration fee, licence), preset values, or let the customer type their own.
- Quick generation creates every combination at once: clothing XS to 3XL, belts A0 to A4, one size, with a default stock.
- Each variant has its stock (empty = unlimited) and, if needed, a specific price. A sold-out item stays visible but can no longer be ordered.
Add a photo and a size guide from the item page: that is what avoids exchanges.
2. Choose how you get paid
On each item, Card payment inherits the academy setting, or forces “always” or “never”. Offline methods (cash, check, bank transfer with your details) are enabled separately, with instructions shown to the student.
Three options change the mechanics:
- Personal sale: sale outside the academy’s books, never an invoice, card payment unavailable. For a coach selling their own gear.
- Volume pricing: a unit price per quantity tier, for group orders of a class.
- Limit sale period: start and end dates, for a back-to-school hoodie pre-order.
Hide from shop catalog keeps the item available only as a subscription add-on.
3. Publish and manage orders
An item starts as a draft, is published from its page (the VAT rate is required), and is archived when no longer sold. An order then goes through Pending, Payment in progress, Paid, Delivered or Canceled.
On an order: Confirm payment when the student paid you in person, Mark as delivered when they have their item, Cancel the order otherwise. A card payment is collected by Stripe and confirmed on its own.
Export produces a CSV on desktop, either detailed (one line per item, with the student and the status) or supplier (quantities aggregated by product, size and color), ready to send to your manufacturer.
4. Hand over at class
The easiest way is to hand items out during class. When taking attendance, a student with a paid order shows the order(s) to hand over mention; View order recalls the item and the size. Once handed over, Mark as delivered closes the order.
5. What the student sees
In the Academy tab, Shop lists your published items. The student picks a size and a color, fills the cart, then Place order with the payment method you accept. If paying offline, the app tells them the payment happens outside the app. They find their purchases in My orders.
If a student cannot see an item
Check that the item is published, not hidden from the catalog, that its sale period is open and that at least one variant has stock.
