Create an account for a student without a smartphone, a child or a member who does not want the app

Create a managed account with no email or password, enroll and follow them on their behalf, then hand the account over to the student or a parent when the time comes.

Not all your students have a smartphone, and some will never install an app: children, a few adults, drop-in members. A managed account still lets you enroll them, track their attendance and payments. You keep their profile on their behalf, and you can hand it over later.

1. Create a managed account

In the member list, New user opens the managed account form.

Fill in the first name and last name, then if you have them the phone, birth date, gender and weight category. No email, no password: this member does not log in. They show up in your list with the Managed status.

2. What you manage for them

A managed account behaves like a normal member, with you on top. You enroll them in classes, create their subscription and record their payments, the professor marks them present at roll call. Their statistics and history build up like everyone else’s.

From their profile, the Managed account card gathers your actions: Edit profile, Edit physical condition, Transfer account, and if needed Remove from academy or Delete this member.

3. Transfer the account later

The day the student wants their own app, or a parent wants to follow their child, Transfer account offers two paths, without losing any history.

  • To a new independent account: enter their email, they receive an activation link and pick their password. The account becomes theirs.
  • To a parent: the app generates a code to hand to the parent. From their own profile, they attach the child to their account.

4. On the parent’s side: My children

A parent manages their children from their Profile, Family section, My children entry. They can Add a child by creating the account themselves (first name, last name, birth date, gender, and a parental consent checkbox), or Add an existing child account with the code you handed them.

They then switch between accounts in the app to enroll the child, pay or check attendance, with a banner reminding them which account they are viewing.

If the parent says the code does not work

A code expires and works only once. From the child’s profile, Transfer account then Generate a new code. If the child is already linked to another parent, the app says so: that link must be removed first.
