Set belt promotion criteria and record a graduation

Create a graduation path per belt, pick its criteria, see which students are ready and record the promotion on their profile.

A graduation path is your club’s rule for moving from one belt to the next: so many classes, so many months, so many competitions. The app counts for you and tells you who is ready. The promotion itself stays your decision: you record it on the student’s profile.

1. Create a path

The New path button opens the form. Pick the sport, the source belt, the target belt, then name the path (“Blue belt promotion”) and add a description if useful. The Active path switch lets you prepare a path without applying it yet.

There are two origins. Federation paths ship with the federal rules (judo, IBJJF); Custom paths are your own. A federal path you edit is flagged “Modified” and may become non-compliant with IBJJF, the app tells you before saving.

When a federation changes its rules, a “Federal rule updates” banner shows at the top of the list. You see the old and new values, then Apply or Ignore; your custom criteria are kept.

2. Pick the criteria

A path needs at least one criterion, each with a threshold above zero. Five types are available:

  • Classes attended: number of sessions where the student was marked present.
  • Competition participations: number of competitions entered.
  • Time since last belt: minimum number of months.
  • Minimum age and Maximum age, in years, for kids or adult paths.

Attendance comes from roll call, competitions from validated results. The more regular your roll call, the fairer the path.

3. See who is ready

A path’s page shows the Qualification statistics (“4/18 students qualified”) and the Student progress, filterable by All, Qualified or In progress, with a Priority sort that surfaces those furthest past the thresholds.

On a member’s profile, the Graduation progress card lists their current paths and shows a Qualified badge as soon as every criterion is met. It is the right place to prepare a belt ceremony.

The paths analytics button gives the Average time per belt for your academy, sport by sport: mean, median, minimum and maximum. Useful to check your thresholds match what actually happens in the club.

4. Record the promotion

The path never promotes anyone on its own. When you hand over a belt or a stripe, open the member’s profile, Graduation history section, then Add. Fill in the sport, the belt (adult or kids category), the stripes, the date awarded, who awarded it and a note if you like.

This graduation updates the grade shown everywhere: profile, lists, leaderboard, and resets the “time since last belt” counter for the next path.

If a qualified student does not show up

First check the path is active and that the student’s sport and source belt match. Then check their attendance: a session without roll call does not count. Finally, a student already promoted to the target belt is no longer listed on that path.
