Optional modules

Run a camp, an open mat or a seminar

Create an event, build its schedule and prices, publish it, then manage attendees and tickets on the day.

A camp, an open mat or a seminar does not fit the weekly schedule: its own dates, a separate price, counted spots. The Events module handles all of it, from the announcement to scanning tickets at the door. It is an optional module, enabled by default.

1. Create the draft

The Create an event button opens the form. You describe the event in broad strokes:

  • Cover image, title (“Summer camp 2026”) and type: camp, open mat, seminar, inter-club or other.
  • Start and end: the overall window, every session of the schedule must fit inside it.
  • Venue: the main address, a schedule block can have its own.
  • Maximum capacity: 0 for an event with no limit.
  • Payment methods: online card payment, payment on site, or both. Online payment requires Stripe to be active on your academy.
  • Practical information (access, parking, changing rooms) and required equipment.

Create the draft saves without publishing anything. Nothing is visible until you click Publish.

2. The schedule

In the event page, the Program tab lists the components: a single session or a repeated slot.

Add a component asks for a name, a type, a professor from the academy or an external guest, a venue, a difficulty, a duration and the first session. Tick Repeat this slot for a multi-day camp: frequency, days and end of recurrence (end of the event, until a date, or after N sessions) generate the sessions in one go.

A session that is dropped is removed with Cancel the session, without touching the rest.

3. Prices

The Pricing tab defines what attendees pay. Add a price: a name, a price (0 for a free event), and three options that make the difference:

  • Members only: a member rate, invisible to outsiders.
  • On sale until: closes the sale on a date, handy for an early bird rate.
  • Limited spots: a quota specific to this price, empty for unlimited.

An outdated price is archived and reactivated, it cannot be deleted while people are registered on it.

4. Publish

The Before publishing block tells you what is missing: at least one scheduled session and at least one active price. Until then, Publish refuses.

Once published, the event shows up for your members in the academy’s Events tab, in their agenda, and their tickets in My tickets. It is also listed on your public page, under “Upcoming events”, for outsiders. The direct link to the event page works even outside the app.

5. On the day

The Attendees tab lists the participants and the number of scanned entries. Scan tickets opens the camera: each ticket is validated once, an already scanned ticket, a canceled registration or an outstanding payment are flagged at the door.

For a participant paying on site, Collect payment records the payment method and a note. The event QR code can be displayed at the front desk so latecomers register themselves. Create a visual produces a ready-to-post poster, and sharing to the feed creates a post linked to the event.

If you have to cancel

Cancel the event notifies every attendee by email and automatically refunds online payments. Payments collected on site are yours to return. The event stays visible with a canceled mention, so no participant travels for nothing.
