A contest gives your students one more reason to come to the club: over a period you set, they collect points, and the top of the ranking takes home a prize. The app builds the ranking on its own from attendance or competition results, picks the winners once the end date is reached and announces them in the feed. You look after the prizes and hand them out.
Everything happens in the management menu, Challenges & Motivation section: Contests for your contests, Stock for your prize catalogue.
1. Prepare your prizes
A prize is created once and reused from one contest to the next. New prize asks for a Name (“Club t-shirt”, “Free month”), a Description, a Photo, an Estimated value (€) and the Total stock you have.
The stock is shared by all your contests. On each prize, the list shows how many are left to assign and how many are already promised to a running challenge (including a draft, or an ended contest until the prize has been handed over): a prize promised somewhere is no longer available elsewhere.
- The All, Available and Out of stock filters isolate the prizes to restock.
- A prize’s + icon opens Restock: a Quantity and an optional Reason (“supplier order”, “donation”).
- Under each prize, the Reserved, Delivered and History tabs show which contests it is promised to, who received it, and every stock movement (restock, delivery, correction).
A prize still promised to a contest cannot be deleted: remove it from the contest first.
2. Create the contest
New contest opens the form. It creates a draft, invisible to your members until you publish it.
- Name and Description: what your students will read (“Fall attendance contest”).
- Criteria: Attendance or Competition ranking.
- Start date and End date: the period that counts. The length in days then shows on the contest page.
- Eligibility (optional): the Eligible belt colors, the Age categories, a Minimum age and a Maximum age. With no condition, the contest is Open to all.
Create a draft then takes you to the Prizes step: Assign a prize for each reward, then Continue to publishing, or Finish later to keep the draft.
3. How points are counted
- Attendance: every academy class where the student is marked present at roll call, between the start date and the end date, is worth 1 point. A class without roll call earns nothing.
- Competition ranking: only validated competition results count, for competitions held during the period. A fight fought, a win and each medal earn points, on the same fixed scale as the competition ranking. On equal points, the number of medals breaks the tie.
Eligibility conditions are checked against the student’s profile: their current belt, their age category and their age computed from their date of birth. A student with no date of birth is left out of a contest that sets a minimum or maximum age.
4. Assign prizes by rank
On the contest page, the Challenge prizes section lists the promised prizes. Assign a prize asks for the Prize (from your catalogue, or created on the spot with New prize), the Rank and the Quantity.
The rank decides who wins what: rank 1 goes to the top of the ranking, rank 2 to the second, and so on. The rank picker shows the places already taken and those still free. Two prizes on the same rank are allowed: the same winner takes both.
As soon as it is assigned, a prize is counted out of the available stock. If there are not enough left, the assignment is refused.
5. Publish
A draft’s page reminds you what is missing: Details complete and At least one prize assigned. A contest with no prize can be published, but it will have nothing to award.
Publish opens a summary (name, dates, criterion, number of prizes) and one question: Yes, notify members posts an announcement in the feed with a notification, and you can edit the Message shown in the feed. No, publish without announcement makes the contest visible without telling anyone.
If the start date has not come yet, the contest shows as Scheduled: it is already visible, but its ranking only opens on the start date. After that, it becomes Active.
6. Follow a running contest
On the page, In winning position lists the students holding a rank that has a prize, and Who is approaching? those just behind. Ranking opens the full ranking.
You can still Edit a running contest and adjust its prizes. The … button (More actions) offers two final actions:
- End contest: closes the contest right away and picks the winners from the current ranking.
- Cancel contest: stops it with no winner. It cannot be restarted, and the promised prizes become available again in the catalogue.
A running contest cannot be deleted: cancel it first. A draft, an ended or a cancelled contest is deleted from the list.
7. Pick the winners and hand out the prizes
Once the end date has passed, there is nothing to do: within the following 24 hours, the app closes the contest, gives each prize to the student ranked at the matching rank and posts the winners announcement in the feed. If the ranking has fewer students than ranks with a prize, that prize stays without a winner.
An Ended contest shows a Prizes to hand out banner as long as some prizes have not been handed over. For each prize, Confirm delivery asks for optional Delivery notes, then whether to remove it from stock:
- Yes, remove from stock: the prize leaves your stock, the normal case when you took it from your own supply.
- No, keep stock: the stock does not move, for instance when the partner shipped the prize straight to the winner.
The prize then switches to Delivered and shows in the catalogue’s Delivered tab. The prizes of an ended contest can no longer be changed: the results have been announced.
What your students see
In the app’s Ranking tab, a third Contests tab joins Attendance and Competitions, with the number of running contests. The student sees the contest, the countdown, their position, the gap to the nearest prize, the prizes to win and how points are scored. Ended contests remain available in the Hall of fame.
If you turned on Hide the student list, the Ranking tab disappears for your students, contests included.
A contest can show a Partner who provides the prizes. That partner is attached by OSS Academy, not from your space: when there is one, its name appears on the contest page.
