The QR code is the fastest way to validate attendance: the student scans, the presence is recorded, the professor has nothing to type. What remains is deciding where that QR code lives: in the professor’s hand at every session, or on a poster at the front desk, once and for all.
1. The two modes
- QR per class: the professor generates a QR code at every session from the attendance sheet, valid for 10, 20 or 30 minutes. Nothing to display in the room, but one action at every class.
- Single academy QR: a permanent QR code, displayed at the front desk on a tablet or a poster. Your students always scan the same one, whatever the class.
The Single academy QR mode suits a gym with a front desk or a single mat. The QR per class mode suits overlapping classes or changing venues.
Switching modes asks for three confirmations. Moving to the single QR code, you commit to displaying it. Moving back to the QR code per class makes your posters obsolete.
2. Generate and display the academy QR code
In single QR code mode, the Academy QR code card appears below the modes.
Click Generate my QR. Then Show fullscreen puts it on a tablet at the front desk, and Share the QR sends it wherever you want to print it yourself. There is no built-in printing: you go through full screen, sharing, or a kiosk device.
Regenerating or deleting the QR code makes your existing posters unusable. Only do it if the QR code leaked or if you are redoing all your signage.
3. Allow scanning without prior enrollment
By default a student must be enrolled in the class for the scan to count. With this switch, a student who is not enrolled and scans the academy QR code is enrolled in the ongoing class and marked present. If several classes run at the same time, they pick theirs.
This is the setting for clubs where people show up without booking. Manual enrollments keep working.
4. What the student sees
The student opens the app, scans, and sees Attendance validated, Validated · late or Already validated. Scanning is possible from 60 minutes before the class starts until 30 minutes after it ends; outside that window, a message explains it.
The scanner does not exist on the web version: a student on a computer cannot scan, the professor marks them present by hand.
If a student says the scan does not work
Check in order: the time (window from 60 minutes before to 30 minutes after), their enrollment in the class if open scanning is off, their subscription if the class is reserved for subscribers, and the QR code itself if it was regenerated after the poster was printed.
