Subscriptions and payments

Choose the payment methods you accept

Card, SEPA Direct Debit, cash, checks, bank transfer, family allowance vouchers, Pass Sport, holiday vouchers: switch on what your club actually takes, and set different methods for your memberships and your shop.

A club rarely gets paid one single way: some by card, some in cash, a few checks and some public aid. You declare here what you accept, and your students are only offered those options.

1. Online payment

The Online payments (Stripe) section groups the methods collected automatically:

  • the Credit card, including Apple Pay and Google Pay;
  • SEPA Direct Debit, a debit from the student’s bank account using their IBAN, confirmed within 6 business days.

Both require your Stripe account to be connected. Until it is, the screen shows the Stripe connection card at the top and these rows stay greyed out, with “Connect Stripe to enable SEPA” under the direct debit. The SEPA Direct Debit row only appears once SEPA has been enabled for your academy: if you do not see it, contact OSS Academy support.

They are the only methods you have nothing to do about day to day: the money comes in and the student’s payment updates on its own. During the settlement days of a SEPA debit, the student already has access to their classes.

Without card or SEPA, a warning reminds you that recurring memberships and installment payments can no longer be paid online, since they can only be paid by card or SEPA Direct Debit.

2. Disable card payments

Untick Credit card then Save the academy’s methods: a Disable card payments? confirmation shows up before the change is applied.

Card is no longer offered for new payments. Memberships and installment plans already running on card are not interrupted: renewals and automatic debits keep working normally.

3. Offline payments

Anything you collect yourself is declared under Offline payments: Cash, Check, Bank transfer, External card terminal if you have your own.

Switching on an offline method triggers no automatic collection: you receive the money directly, then you confirm the payment in the app so the student’s record stays up to date.

When you tick Bank transfer, the Bank transfer details block opens right below: IBAN, optional BIC, account name and a message for your members. These details are shown to them when they pay. Without an IBAN, they do not know where to send the money, and the screen warns you.

4. Aid and vouchers

Grassroots sport runs largely on aid. Each one is switched on separately: CAF voucher, Carte Blanche, Holiday vouchers, BAZ, Pass+ (CNAS), Pass Sport, Sports Vouchers and Connect Voucher.

Only enable the ones you know how to process. A method shown but refused at the desk is pointless friction.

Voucher payments still pending show up in the In-person payments block of your financial dashboard: it is your list of vouchers to hand over to the issuing body.

5. Different methods for memberships and the shop

By default, your memberships and your shop offer every method enabled above. The Methods by type of sale section, at the bottom of the screen, lets you remove some for either one: for example accept fewer methods in the shop than on your memberships. The Customize by type of sale link, at the top of the screen, takes you straight there.

On the Subscriptions or Shop card, turn on Choose the accepted methods, tick the ones you keep, then Save. The card switches from “All methods” to “Custom”. Each product can then remove more for itself only, from its form.

If a setting leaves products with no payment method at all, a warning lists them by name: “2 products no longer have any payment method”. Your students cannot buy them until you edit those products or add a method. Before you save, the screen already tells you how many products would be affected.

Trial classes and workshops have their own rules, shown at the end of the section: trial classes are paid by card online or in cash on site, workshops by card online or with your offline methods on site. Each offer and each workshop is set up on its own.

6. Combining several methods on one payment

A single payment can mix methods. A 350 euro annual membership can be settled with 200 euros on card, 100 euros in family allowance vouchers and 50 euros in holiday vouchers.

That is exactly the back-to-school sign-up case: switch the relevant methods on before September and you will not have to improvise later.

What your students see

A disabled method never appears on the student side. If a member tells you they cannot pay the way they expected, check this screen, then the Methods by type of sale section, then the product’s own methods. In your product list, a No payment method badge points straight at the blocked product.
