Declare your federations and track licenses

Enable CFJJB, France Judo, France Jujitsu or IBJJF, know what each one unlocks and where your members' license numbers are entered.

An academy affiliated to a federation has obligations: licenses up to date, a season to prepare, sometimes classes reserved to licensed members. Declaring your federations tells the app which ones apply to you and unlocks the matching tools.

The Federations screen lives in the Academy section of your management menu. It is reserved to the academy owner and co-owners: your professors do not see it.

1. Enable a federation

The Available federations list offers CFJJB, France Judo, France Jujitsu and IBJJF. Click Activate next to the ones your club is affiliated with: activation is immediate.

Deactivate asks for a confirmation, because the related features disappear at once for your academy. Nothing is erased though: your members’ licenses stay on their profile, and the CFJJB blocking settings are kept (they simply stop applying). Enabling the federation again brings them back into force.

2. What each federation unlocks

Below the list, one ACTIVATED · UNLOCKED FEATURES block per active federation sums up the unlocked access. Each line is clickable and opens the matching screen.

  • CFJJB: the only federation that adds dedicated tools.
    • CFJJB season management opens the season’s license tracking (payment, sending, official number). A CFJJB entry also appears in the Academy section of your menu.
    • CFJJB license in the member list opens your member list, which gains a CFJJB license column (see below).
    • Block BJJ classes without license opens the Restrictions tab of CFJJB management, where the two blocks described in section 4 are set.
  • IBJJF: shortcuts to your competitions and to your graduation paths.
  • France Judo: shortcut to your competitions.
  • France Jujitsu: no dedicated tool yet.

Whatever the federation, enabling it also makes it available in a required document of type Federation licence (section 3). Enable only the ones that apply to you.

3. Your members’ licenses

This screen only enables your federations. License numbers are entered elsewhere, in three places.

In CFJJB management, for the season

This is the main place for CFJJB. You follow each member season by season, from Unpaid to Confirmed. When the federation sends you a number back, click Confirm official no. on the member’s row (the button appears once the member is Settled at CFJJB) and enter it: the expiry date is set automatically to September 1st at the end of the season. The number is added to the member’s licenses right away.

The full step by step is in the article Manage your members’ CFJJB licences.

In a member’s profile, for every federation

In a member’s profile, the Federation licenses link opens the list of their licenses, each with its number and expiry date. You can:

  • Add a license: pick the federation, enter the number (digits only for CFJJB) and, if needed, an expiry date;
  • open a license to edit or delete it (deletion is permanent, after a confirmation);
  • copy a number in one click.

Members can also declare their licenses themselves from their own profile. A CFJJB number entered here shows up in CFJJB management as Existing/declared no.

With a required document, for the whole club

To ask everyone whether they already hold a license, create a required document of type Federation licence and pick the federation. Each member answers whether they already have a number (and gives it) or have never been licensed. You review every answer by hand: automatic approval is not available for this type, because your approval is what links the license to the member. It is the right tool at the start of the season.

With CFJJB, these answers feed the season’s Reminders block and the split between renewals and new license holders.

The CFJJB license column in the member list

With CFJJB enabled, your member list shows a badge for the current season for each member (for example 26/27). Hover it to read the status: license confirmed, in progress or missing. From May to August, a second badge shows who already has a confirmed license for the next season.

4. The two CFJJB blocks

In the Restrictions tab of CFJJB management, two independent rules are switched on separately:

  • Block enrollment without paid licence fee: a student whose license fee is not marked paid for the season cannot enroll in classes.
  • Block attendance without confirmed licence: you cannot mark present a student whose official number has not been confirmed yet.

Both only apply to BJJ and grappling classes, and only for the current season. Before saving, the screen shows how many students would be blocked.

If a student is blocked

  • When enrolling in a class: their CFJJB fee is not marked paid for the current season. Mark them paid by student in the season, or declare the product they bought in the Products tab. You can also switch the rule off while things get sorted.
  • When taking attendance: their official number is not confirmed yet. Confirm it in the season with Confirm official no., or switch the rule off.
