Manage your members' CFJJB licences, season by season

Enable the affiliation, link the products that include the licence, track each member from unpaid to confirmed, export the submission file and set restrictions.

The CFJJB licence is collected every season, member by member, then sent to the federation as a file. The app keeps the register for you: who has paid, who went in the submission, who received their official number. Everything goes through files, there is no automatic link with the federation.

1. Enable the affiliation

In Federations, enable CFJJB. The CFJJB entry then appears in the Academy menu, with a “CFJJB licence” column in your member list and a reminder on the student side to declare an existing number.

2. Products that include the licence

The Products tab is where you declare the products whose price includes the licence: a yearly “licence included” subscription or a “CFJJB licence” shop item. Every student who bought it automatically becomes paid for the season, with no manual ticking.

If you have no item yet, Create the licence item generates one as a draft, with its price and sale period.

3. Track the season

The Licence tab lists the seasons; open the current one.

Each member has a state, in order: Unpaid, Paid by student, Sent, Settled at CFJJB, Confirmed. They are also tagged To renew or New. Actions move the state forward: Mark paid by the student, Mark sent, Mark settled with the CFJJB and Confirm official no. A licence sent to the federation does not go back.

When the federation returns its numbers, Confirm returns enters them in bulk. The Reminders block lists students who declared nothing or whose declaration awaits validation.

4. Export for the federation

Export offers three files:

  • CFJJB submission export: paid members, not yet sent, with a complete profile. After download, the app offers to mark them as sent.
  • Full tracking export: everyone, with paid, sent and confirmed.
  • Unpaid reminder export: the list to chase.

The federation file requires gender, date of birth, phone, address and parents. Make those fields mandatory in Required documents, otherwise incomplete profiles are excluded from the export and flagged.

5. Restrictions

The Restrictions tab sets two rules: Block attendance without confirmed licence and Block enrollment without paid licence fee. Before saving, the screen shows how many students would be blocked, so you do not cut off half the club on a Tuesday evening.

If a member stays “unpaid” although they paid

Either their payment went through an undeclared product (declare it, then Resync), or they paid outside the app: mark them paid by hand.
