When a student enters your invite code, they land by default in a request queue that you approve. That is what guarantees you know exactly who is on your mats.
1. Choose between manual and automatic approval
The membership approval screen carries an Automatic approval switch. Turned on, members who enter your code join the academy straight away, without going through you.
That is convenient for a club that only shares its code internally. Leave it off if your code travels outside, on a flyer or social media: you keep control over who gets in.
The rest of this tutorial describes how it works with manual approval.
2. Open the request list
Pending requests are flagged in your management space as soon as they arrive. You see the person’s name, age, gender and their “Pending” status.
3. Approve a student
Approve the request and the student becomes a member of your academy. They then see your schedule and can enroll in classes, as long as they hold a subscription that covers them.
An approved student without a subscription sees the classes without being able to enroll: that is the expected behaviour.
4. Assign a role
The actions available on a member sit behind the three dots at the end of the row: profile, role, approval, removal.
By default, a new member is a student. You can switch them to professor if they are part of your teaching team: they then get access to their classes, attendance and their group’s statistics.
Only give the owner role to people who need to manage the entire club, payments included.
5. Reject, block or exclude
There is no “Reject” button: to turn down a request, use Exclude, which takes it out of your academy without deleting the person’s account. Block keeps a member out of your academy until you approve them again. Excluding an already approved member takes them out of the club and cancels their class enrollments, but keeps their account and history, which is useful if they return next season.
Inactive members
A member who stopped coming but was never removed stays in your roster. The inactive members list lets you clean up at the end of the season, without losing the data of those who will come back.
